Wedding Photography Workflow: Gear, Backup, Editing and Album Design
Written by Abin Alex and Anu Joseph.
Abstract
A guide to the wedding photographer's workflow: gear and spares, contracts and planning, assistants and second shooters, folder structure and three-place backup, culling and editing, and wedding album design, with three tables.
Keywords: wedding photography workflow, wedding backup, wedding album design, culling wedding photos, wedding contract, second shooter, wedding gear checklist, Lightroom wedding
What gear and spares should you carry to a wedding?
Short answer. Two of everything that can fail, plenty of charged batteries and small cards.
- Assume anything that can go wrong will go wrong. Carry spare camera bodies, flashes, triggers, batteries, cords and twice the storage you expect to need (Hurter, 2009a, p. 24).
- Bring a stepladder for groups, a torch, a small tool kit and spare quick-release plates for your tripod (Hurter, 2009a, p. 24).
- Charge every battery the night before, and bring chargers for long days (Hurter, 2009a, pp. 24-25).
- Clean the sensor before the wedding. A dust spot repeats on every frame (Hurter, 2009a, p. 25).
- Pack the night before with a written checklist, and check it again before you leave.
| Item | Spare |
|---|---|
| Camera body | Second body |
| Flash | Second flash and triggers |
| Batteries | Two or more per body, charged |
| Memory cards | Twice the expected need |
| Lenses | Cover the range with two bodies |
| Stepladder, torch, tool kit | For groups and emergencies |
Table 1. Wedding kit checklist.
Pack your wedding bag from the checklist and time how long it takes.
Film camera departments use daily checklists for the same reason: one missing cable stops the shoot.
Cham tipTwo of everything.
Cham taskWrite your own kit list and tape it inside your bag.
Check yourself: Why carry a second camera body?
If one fails, the wedding can still be covered without a break.
Why do you need a contract and a plan?
Short answer. A signed contract sets out what the couple pays for; a schedule form prevents surprises.
- Get a signed contract for every wedding. It should list the parties, the services and products, the dates, the prices and the payments, so everyone knows what is being paid for (Karney, 2007, p. 18).
- Keep the contract simple, but have a lawyer check the form you use (Karney, 2007, pp. 18-19).
- Ask the couple to fill in a form with every event, the times, the wedding party and the other suppliers. It is the basis of your plan (Karney, 2007, p. 18).
- Visit the venues before the day if you can, to check the light and where you can stand.
- For Indian weddings, the ritual order matters as much as the schedule. See the wedding photography in India guide.
Draft a one-page wedding contract and a schedule form for your next booking.
Film productions run on call sheets and contracts for the same reason: clarity before the day.
Cham tipWrite it down and get it signed.
Cham taskList what your contract must include.
Check yourself: What should a wedding contract list?
The parties, services and products, dates, prices and payments.
Should you work with an assistant or second shooter?
Short answer. Yes for most weddings: one person cannot be in two places at once.
- Many full-time wedding photographers started as assistants or second shooters, learning from an experienced photographer before working alone (Karney, 2007, p. 14).
- A second shooter covers the groom while you cover the bride, or the guests while you cover the ritual.
- An assistant carries gear, holds reflectors, gathers family groups and backs up cards during the day.
- Agree before the day who covers what, and set both cameras to the same time so the images sort in order.
Plan a wedding with two photographers and assign each ritual to one of them.
Wedding films use two or three camera operators with assigned positions in the same way.
Cham tipTwo cameras, two stories.
Cham taskShadow a working wedding photographer for one day as an assistant.
Check yourself: Why sync the clocks of two cameras?
So the images from both cameras sort into the correct order.
How should you organise and back up wedding files?
Short answer. One main folder per wedding, a subfolder per ceremony, and copies in three places.
- Make one main folder for the wedding and a subfolder for each ceremony: engagement, pre-wedding, wedding day, post-wedding and reception. Wedding day can have its own subfolders for each ritual.
- Back up during the day. Copy each card as it fills, to a laptop or a portable drive, and if possible make a second copy at once (Karney, 2007, p. 52; Karney, 2007, p. 57).
- Keep the files in at least three places, such as the computer, an external drive and a separate archive drive or cloud copy.
- Keep the same folder structure on every backup, so a wedding can be restored or reopened quickly (Karney, 2007, pp. 57-58).
- Do not format a card until its files are safely copied in more than one place.
| Folder | Contents |
|---|---|
| 01 Engagement | Engagement ceremony |
| 02 Pre-wedding | Save the date, mehendi, haldi |
| 03 Wedding day | Subfolders for make-up, blessings, rituals, portraits |
| 04 Post-wedding | Love scene, homecoming |
| 05 Reception | Entrance, family groups, dance, cake |
Table 2. Folder structure for one wedding.
Set up the folder structure for one wedding and back it up to two drives.
Film data wranglers copy every card to two or three drives before it is formatted, the same rule.
Cham tipThree copies before you format.
Cham taskWrite your own backup routine as numbered steps.
Check yourself: How many places should wedding files be kept in?
At least three.
How do you cull and edit a wedding?
Short answer. Sort in Lightroom, pick the strongest frame of each moment, then edit consistently.
- Once the files are safely backed up, sort and select them in Adobe Lightroom.
- Pick the strongest frame from each moment: sharp eyes, best expression, cleanest background. Reject duplicates and near misses.
- Edit consistently across the wedding so colour and tone match from ceremony to reception. Correct white balance first, then exposure, then style.
- Retouch skin lightly and keep people looking like themselves.
- Update your backups again once the editing is finished.
Film editors make selects from rushes in the same way before cutting the story.
Cham tipCull hard, edit consistently.
Cham taskCreate a Lightroom preset that matches your style and apply it to a whole wedding.
Check yourself: What should you correct first when editing a wedding?
White balance.
How do you design a wedding album?
Short answer. Plan the spreads, keep the order of the day, give the best images space, and stay consistent.
- Spread out the selected photographs before you design. Decide how many spreads the album will have and distribute the photos across them, so you do not end with too many or too few.
- Keep the photographs in the order of the day, so the couple relives the wedding as they turn the pages.
- Give the best and most emotional photographs the most space on each spread.
- Avoid crowding. Divide each spread clearly by grouping photos with similar colour, using black and white, borders or soft background images.
- Use few captions in a soft, simple font. Keep borders and margins the same on every spread, and make fine adjustments at the end.
- Before sending the album for printing, back up the original layered files, then send JPEG or PDF files to the colour lab.
| Step | Rule |
|---|---|
| Plan | Count spreads and place photos before designing |
| Order | Follow the day from start to end |
| Hierarchy | Best and most emotional photos largest |
| Clarity | Group by colour, use borders, avoid clutter |
| Consistency | Same margins, borders and fonts on every spread |
| Back up layered files, send JPEG or PDF to the lab |
Table 3. Album design checklist.
Design three spreads from one ceremony following the checklist.
Editors build a film's emotional rhythm the same way: quiet spreads let the big moments land.
Cham tipOrder, hierarchy, consistency.
Cham taskDesign a ten-spread album for a wedding you photographed.
Check yourself: Why keep the album in the order of the day?
So the couple relives the wedding as they turn the pages.
